The Requirement

A Leading University engaged Maxica to assess and modernise a fragmented integration landscape supporting student, academic and administrative services. The university operated approximately 144 business systems, with core student data shared across finance, HR, timetabling, attendance, research and learning platforms.

The requirement was to create a clear integration strategy, target architecture and phased roadmap that would reduce point-to-point complexity, improve governance, support future cloud adoption and enable more timely, reliable data exchange across critical services.

The Challenge

The current environment contained more than 30 point-to-point integrations using direct database connections, custom scripts, SFTP file transfers, CSV uploads and a small number of APIs. Many data flows were one-way, batch-driven and dependent on overnight processing.

This created operational risk. Failed jobs were difficult to detect, dependencies were not centrally recorded, and student onboarding could take 24–48 hours because account creation, email and timetable access relied on slow synchronisation cycles. Data governance was also inconsistent, with limited field-level visibility of what data was shared, where and why.

Our Approach

Discovery: Maxica reviewed the current integration estate, focusing on the Student Information System and its connected systems across finance, HR, timetabling, attendance, research and learning services.

Stakeholder Engagement: Workshops were held with Digital Services, Student Administration, Finance, HR and enterprise applications stakeholders to understand operational pain points, business drivers and future requirements.

Architecture Assessment: Maxica compared future-state scenarios, including continued point-to-point integration, a hybrid Azure-based model and a full enterprise integration platform approach.

Roadmap Definition: The final approach translated the discovery findings into guiding principles, target architecture components, governance needs and a phased transition roadmap.

Our Solution

Maxica defined an API-led hybrid integration architecture using a central integration platform, API gateway and reusable integration services. The target design was created to connect legacy on-premise systems, cloud services and future SaaS platforms through secure, governed and standardised interfaces.

The solution included common data standards for core entities such as student, staff and course data, alongside monitoring, logging, error handling and governance controls. A phased roadmap was developed to establish foundations, prioritise high-value use cases, introduce API-led integrations, add event-driven patterns and progressively migrate legacy point-to-point connections.
