An anonymous FTSE 30 food manufacturer asked Maxica to transform Global Procurement project data held in unstructured spreadsheets into a more robust data capture and reporting environment.
The requirement was to improve data quality, resolve conflicts caused by fragmented working practices and strengthen collaboration, while making better use of the organisation’s existing Microsoft technology stack for reporting and analysis.
Global Procurement needed stronger governance and more dynamic visual analysis across a portfolio of more than 2,000 projects with an approximate value of £188 million.
The team wanted to demonstrate the value delivered by procurement, turn static two-dimensional data into an interactive stakeholder view, improve usability and engagement, identify projects requiring support, maintain better data quality and reduce the manual effort involved in preparing reports.
Structure the Data: Maxica cleansed and migrated project data from unstructured spreadsheets into a customised SharePoint environment designed around consistent capture and accessibility.
Improve Data Quality: Validation rules, automated checks and custom forms were introduced to reduce errors at source and support more consistent data entry.
Design for Insight: Custom Power BI dashboards were built to convert the improved dataset into clear, interactive views of project status, value and areas requiring attention.
Embed Governance and Adoption: Security models, user training and ongoing support were included so that sensitive procurement data remained controlled and the new tools could be adopted effectively.
Maxica delivered an integrated SharePoint and Power BI solution that moved procurement project data out of fragmented spreadsheets and into a structured, governed reporting environment.
SharePoint provided the controlled data-capture layer, including validation and custom forms, while Power BI provided near real-time visual analysis. Security controls were applied across both platforms, and training supported day-to-day use by procurement stakeholders.
