The Requirement

Maxica was commissioned to to take-on the technology pillar of the pharmaceutical's companies business transformation.

An initial phase of this was migrating their users to Microsoft 365 and utilising OneDrive as their user data file store.

The Challenge

To facilitate the migration two areas of technical debt needed to be addressed.

Firstly, following migrations from a shared drive (local file server architecture) to OneDrive a growing number of users were found to be accessing locally cached copies of shared data. Subsequent data loss became a real possibility and required immediate and rapid mitigation.

Secondly, an update to the Microsoft 365 estate was required to facilitate the adoption to Microsoft’s monthly upgrade channel, improving the business users experience and security via automated monthly patching.

The pharmaceutical company was already utilising Maxica’s flex resourcing (PMaaS) so turned to this flexible service to quickly and effectively engage a skilled and experienced Project Manager to address this technical debt.

The key to the success of this project was providing the project team with visibility of progress towards the end goal. Through amalgamation and analysis of data from Active Directory, Manage Engine and custom scripts, highly visual real-time dashboards and data capture forms were implemented to provide accurate feedback of daily targets, resource requirements, burn rates, and progress

This granular visibility of the health of the project provided invaluable actionable insights allowing the project’s steering committee to take decisive action to support the successful conclusion of the project.

The M365 Deployment posed a different challenge in that a cultural shift was the key factor in the successful deployment in adopting a self-service upgrade approach. This was achieved by providing a simple, quick and easy portal upgrade package supported by a comprehensive communication campaign in 5 languages, via email, newsletters, direct messaging and business champions.

This saw over 60% of users successfully use the self-service option, which represented a considerable shift in end user behavior. The M365 part of this project also benefited enormously from the implementation of detailed project data analytics and dashboarding.

Results and Outcomes

This fast paced, highly focused project was delivered in 8 weeks (one week ahead of schedule), within budget and to a high level of quality.
