The Requirement

Maxica was commissioned to o create high visibility and engagement across the organisation to enable better management information of its portfolio to drive more effective decision making and so timely interventions could be made.

Maxica Consulting were engaged by the Director of Data and Digital to launch a rapid adoption plan to deliver theh national charity its strategic prioritisation and project portfolio dashboards.

Implementation

Data was extracted from the ITSM tool, emails and various documents. This data was cleansed and structured into a Change Backlog aligned to the Charities corporate strategy. It was then transformed, scored and prioritised within Microsoft Power BI into easy to understand information.

We then introduced simple out-of-the-box templates to project leaders and team managers to capture the status of all active change initiatives. Quick 30-minute training sessions over MS Teams empowered the team and delivered the dynamic Portfolio Dashboard and Roadmap.

Immediately following on, the dashboards were showcased to the Chief Financial Officer and Head of central PMO. The speed, quality and simplicity of the process was well received, and it was highlighted that the ROI would be a game changer for the wider charity organisation.

IT staff and users within the business received comprehensive training on the new service management system.

Results and Outcomes

With limited resource and data available an interactive Portfolio and Prioritisation dashboard was produced in minimal time. At Portfolio level the new dashboards are already helping the charity easily model different portfolio scenarios to determine the best strategic path for change. At programme and project assurance level a quality change process and data input are driving execution of strategic projects and priority operational change. Project dependencies, risks and issues are connected in real-time at each level.

Conclusion

The Portfolio dashboards provided game changing insights for the National Charity. The speed, professional understanding and quality of delivery, without disrupting the Charity's operations was paramount in the success.
